Insurance Specialists are responsible for verifying client insurance benefits and ensuring a seamless admissions process by providing timely and accurate benefit details. Reporting to the Admissions Manager, they play a crucial role in obtaining and communicating benefit information, including deductibles, out-of-pocket maximums, coinsurance, copays, and in-network or out-of-network coverage.

 

This role requires a strong understanding of healthcare insurance and benefits, as well as the ability to interpret policy details accurately. Insurance Specialists act as liaisons between insurance companies and the admissions team, ensuring that eligibility and benefits are secured for all levels of care that Embark offers. They must work efficiently to provide real-time updates to Admissions Coordinators, helping to facilitate timely decisions for prospective clients.

Responsibilities

  • Ensure all verification of benefit requests are completed and returned to the Admissions Coordinator the same day or within 24 hours, providing clear and detailed benefit information.  Proactively collaborate with Admissions Coordinators to address any follow-up questions and facilitate a speedy admissions process.
  • Insurance Verification of Benefits.
  • Conduct live and/or online verification of behavioral health insurance benefits by contacting insurance providers or using secure portals. Confirm key coverage details, including deductibles, out-of-pocket maximums, coinsurance, copays, in-network or out-of-network status, authorization requirements, and any coverage limitations for all levels of care.
  • Accurately enter and maintain all insurance information in the client record in Salesforce, ensuring details are readily available for Admissions Coordinators.
  • Proactively collaborate with Admissions Coordinators to address insurance related inquiries and provide clarification on coverage details.
  • Notify Admissions Coordinators promptly of any issues that may delay or impact the admissions decision-making process.  
  • Escalate discrepancies, or limitations that could affect a client’s access to care, and work with internal teams to identify possible solutions.

Qualifications

  • High School diploma or equivalent is required, associate or bachelor’s degree preferred.
  • A minimum of one (1) year of experience in insurance-related functions, such as benefit verification, utilization review, or billing.
  • Knowledge of Healthcare Insurance: Understanding health insurance policies, including behavioral health coverage, is critical. This includes familiarity with various plans (e.g., HMO, PPO, EPO) and how mental health or substance use benefits are structured.
  • Attention to Detail: Accurate verification of benefits requires careful examination of policy documents, provider networks, and eligibility requirements to ensure that all information is correct and up-to-date.
  • Communication Skills: Effective communication is crucial for interacting with insurance companies. Clear communication helps in clarifying benefits, explaining coverage options, and resolving issues.
  • Problem-Solving Abilities: The role often involves troubleshooting discrepancies between the information provided by insurers and what the client expects. The ability to analyze issues and work towards resolutions is key.
  • Knowledge of Behavioral Health Services: Understanding the range of behavioral health services, such as Intensive Outpatient Treatment (IOP), Partial Hospitalization Treatment (PHP), and Residential Treatment Centers (RTC) is important for determining what services are covered and under what conditions.
  • Stress Management: Demonstrate patience, professionalism, and composure in high-pressure situations. Maintains focus during extended wait times, communicates effectively with individuals from diverse backgrounds, and performs well in a fast-paced environment.
